1. Overview

Bridge Innovations LLC ("Bridge Innovations", "we", "our", or "us") builds AI-powered software for dental practices. This Privacy Policy applies to all Bridge Innovations products and services, including AI Receptionist (AI voice receptionist), Personalized Office Wiki (AI-powered practice knowledge base), and Auto EOB Upload (automated EOB processing and payment reconciliation), as well as our website at bridgeinnovations.net.

2. Information We Collect

We collect information necessary to provide our products and services. This varies by product:

  • AI Receptionist: Practice configuration data, scheduling data synced from your practice management software (PMS), and contact information provided during onboarding. AI Receptionist does not record or store calls. Call content is processed in real time to handle the conversation and is not retained after the call ends.
  • Personalized Office Wiki: Documents, protocols, and knowledge base content you upload or create within the platform. Personalized Office Wiki is installed locally on your practice network — no document content is transmitted to or stored on Bridge Innovations servers.
  • Auto EOB Upload: EOB (Explanation of Benefits) data retrieved from insurance carriers, payment records, and account ledger data. Auto EOB Upload processes this data locally on your practice network — financial and insurance data is not transmitted to or stored on Bridge Innovations servers.
  • All products: Account registration information (name, practice name, email, phone), billing information, and usage analytics to improve our services.

3. HIPAA Compliance

All Bridge Innovations products are designed to be HIPAA-compliant. We sign a Business Associate Agreement (BAA) with every dental practice we serve. Patient health information is handled in accordance with the Health Insurance Portability and Accountability Act. All data transmitted to or from Bridge Innovations systems is encrypted in transit and at rest. For Wiki and AutoEOB, which operate on-premise, patient data remains entirely within your local network.

4. Local Installation Products

Personalized Office Wiki and Auto EOB Upload are installed and operated locally on your practice's network. This means:

  • Practice documents, protocols, EOBs, and financial records are processed and stored exclusively on your local hardware.
  • Bridge Innovations does not have access to, and does not receive, the practice documents or financial data processed by these products.
  • Software updates and license validation may require periodic internet connectivity, but no practice content is transmitted during these processes.

5. Data Retention

Retention periods vary by product:

  • AI Receptionist: Calls are not recorded or stored. No call content is retained after the conversation ends. Aggregate, de-identified analytics data (call volume, duration, outcome categories — no PHI) is retained for 24 months.
  • Personalized Office Wiki & Auto EOB Upload: All practice data is stored locally on your network and subject to your own retention policies. Under HIPAA, covered entities must retain PHI-related documentation for a minimum of 6 years; practices subject to Medicare/Medicaid should retain billing records for a minimum of 10 years per CMS requirements. Bridge Innovations retains account and billing records for the duration of your subscription plus 10 years, consistent with CMS requirements.

6. No AI Model Training on Your Data

Bridge Innovations does not use your practice data, patient interactions, call content, documents, or financial records to train, fine-tune, or improve any AI model — ours or any third party's. Your data is used solely to deliver the service to your practice. This applies to all products: AI Receptionist, Personalized Office Wiki, and Auto EOB Upload.

7. Data Sharing

We do not sell, rent, or share your practice data or patient data with third parties for marketing or commercial purposes. Data is shared only:

  • As necessary to provide the service (e.g., PMS integrations you explicitly authorize for AI Receptionist).
  • With trusted infrastructure and payment processing providers under strict confidentiality agreements.
  • As required by law or valid legal process.

You have the right to access, correct, or delete personal information we hold about you or your practice. To exercise these rights, contact us at the address below. We will respond within 30 days.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify active customers of material changes via email at least 30 days before they take effect. Continued use of our products after the effective date constitutes acceptance of the updated policy.
